What it is
In plain English
Most teams start with AI the same way. Someone signs up for a free account, asks it to write an email, gets something stiff and generic back, and decides it’s not for them. Or the opposite happens, and customer info ends up pasted into a personal account the business doesn’t control.
The fix usually isn’t a fancier tool. It’s setup. When the AI already knows your company name, your services, your service area, how you price and how you talk to customers, the first draft comes out close to right. When there’s a ready template for “follow up on the quote we sent last week,” nobody has to figure out what to type.
We set that up on accounts you own, then teach your people to use it on their real work: the estimate follow-up, the end-of-day job report, the reply to the customer who’s unhappy about the schedule. By the end of training, everyone has done it themselves, more than once.
The rules are part of the setup. Every setup comes with a plain do’s and don’ts sheet. What’s fine to paste in. What never goes in. When a person has to check the work before it leaves the building. It’s the part most people skip, and it’s the part that keeps you out of trouble.

What you get
Set up on your accounts, tested with your real work, and explained to your team before we call it done.
- A short look at your work and your current tools, so we pick the right AI for you, not the one we like best
- Business accounts set up properly, with the vendor's privacy and data-training settings checked where they're offered
- Your company info loaded in: services, service area, pricing rules, tone of voice, even how you sign off an email
- Ready-to-use templates for your real tasks: quote follow-ups, job reports, customer replies, meeting notes
- A one-page do's and don'ts sheet: what's fine to paste in, what never goes in, and when a person checks the work
- Hands-on training at your office, on your own emails and documents, not textbook examples
- A written how-to your team can come back to after we leave

More questions and answersWhich one is best: ChatGPT, Claude, Gemini or Copilot?
It depends on what you already use and what you do all day. If your office lives in Outlook and Word, Copilot is often the natural fit. If you're on Gmail and Google Drive, Gemini may already be part of your plan. For a lot of writing-heavy work, Claude or ChatGPT is often a strong pick. We'll explain why we suggest one, and we don't resell any of them: you pay the vendor directly.
Is it safe to put our business info into AI?
It can be, with the right account and the right rules. We set you up on business plans and check the data and training settings the vendor offers. Then we write down what never goes in, like card numbers, Social Security numbers or patient records. In medical and dental offices, patient information only goes into HIPAA-eligible tools covered by a signed BAA, never consumer AI.
My team isn't techy. Will this work for us?
Yes. If someone can write a text message, they can use this. We train in small groups at your office, on your own work, and we go at the pace of the least techy person in the room. Most of the time is people trying it themselves, not us talking.
