Getting started

The first visit, where we go and how to begin small.

Where we come to you
Do you really come to my office?

Yes. We drive to your shop, office or job trailer anywhere in the Capital Region, sit with the people who answer the phones and do the paperwork, and set things up on your own computers and phones. If you’d rather come to us, our office at 401 New Karner Road in Albany is open by appointment.

Do I need to be good with computers?

No. If you can send a text and open an email, you can use what we set up. We train your team in person, on their own phones and computers, and leave a short written how-to for everything we build. Most of it runs in the background; your part is usually reading a draft and tapping approve.

What happens at the free visit?

It takes about 30 minutes, at your office or by phone. We ask how your week really goes, where the calls, quotes, email and paperwork pile up, and point out the two or three tasks AI could take off your plate. There’s no sales pitch and no obligation, and if AI isn’t a good fit for you yet, we’ll say so.

Can we start with just one thing?

Yes, and we recommend it. Pick the task that eats the most of your evenings, like quotes written at the kitchen table or receipts piling up in the truck, and get that one working well. Once your team trusts it, we add the next one.

What areas do you serve?

We work in person across the Capital Region: Albany, Schenectady, Troy, Saratoga Springs, Clifton Park, Colonie, Latham, Guilderland, Bethlehem/Delmar, Rensselaer, Cohoes, Amsterdam, Cobleskill and Schoharie County, and Hudson. We also offer remote help anywhere in New York. If you’re just outside that map, ask anyway.

Cost & contracts

Starting prices, software bills and why there’s no long contract.

See pricing
What does it cost?

The first visit or call is free. After that, prices start at $500 for a workflow audit (credited toward any build), $1,500 for AI setup and team training, $3,500 per automation and $350 a month for a care plan. Those are starting prices; you get the final price in writing after the audit, before any work begins. Software subscriptions are billed to you directly by the vendor, with no markup from us.

Do I have to sign a long contract?

No. The audit, setup and builds are one-time projects with a written price. The monthly care plan is month to month, and you can cancel anytime. Either way, everything we built stays with you.

Do I pay for the AI software separately?

Yes. Tools like ChatGPT, Claude or Microsoft Copilot bill you directly at their normal price, and the accounts are in your name. We don’t resell or mark up software, and we tell you what each tool costs before you sign up for anything. Some plans you may already pay for, like Google Workspace or Microsoft 365, include some AI features, so we check those first.

How it works

Timelines, tools, your current software and what happens when something breaks.

Try a live demo
How long does it take?

Most first projects are live in one to three weeks from the day you approve the written plan. A bigger build, like estimating from your drawings, takes more like three to five weeks, including test runs on bids you’ve already priced. You get the timeline in writing before we start, and we test everything on your real work before you rely on it.

Will AI replace my staff?

That’s not what we set it up for. It takes the repetitive parts off their plate: sorting the inbox, retyping the same quote, chasing the same follow-up, keying in receipts. Your people still talk to customers and make the calls that matter, and you decide what the AI may send on its own and what waits for a person to approve.

Which AI tools do you use?

Whatever fits your business and what you already pay for. Usually that’s Claude, ChatGPT, Gemini or Microsoft Copilot, with tools like Zapier or Make to connect them to your email, calendar and QuickBooks. If your office runs on Google Workspace, Gemini is often the easy fit; on Microsoft 365, Copilot often is. We’re not a reseller or partner of any of these companies, so we have no reason to push one.

Can it work with my current software?

Usually, yes. We build on what you already use (Gmail or Outlook, Google Workspace or Microsoft 365, QuickBooks, your phone system, AppFolio or Buildium) instead of asking you to switch. When something has no direct connection, we look for a simple workaround like a shared spreadsheet or a forwarded email, and if it can’t be done well, we tell you before you spend anything.

What if something breaks?

Call or text us, and you reach a person who knows your setup, not a ticket queue. On a monthly care plan, fixes and tweaks are included. Without one, we tell you what a fix will cost before we touch anything. We also build things so that when a step fails, it stops and flags a person instead of quietly sending something wrong.

Do you work with my accountant or IT person?

Gladly. For bookkeeping, we set things up so your accountant gets cleaner records, not a new system to learn. If you have an IT person or company, we follow their rules on accounts, passwords and security, and we hand them notes on everything we set up.

Do you offer remote help?

Yes. After the first visit, a lot of the build work happens remotely, and support is by phone and text. Businesses outside the Capital Region can get remote help anywhere in New York. When we can, we still like to do the first visit and the training in person.

Data & safety

Who owns what, where your data goes and what we sign.

Our AI and data policy
Is my data safe?

We treat it like our own. Everything is set up on your accounts, using the business version of each tool with training on your data turned off wherever the vendor allows it. Sensitive information never goes into free consumer AI apps, and patient information only goes into HIPAA-eligible tools covered by a signed BAA. Our AI and data policy page spells out the details.

Who owns the accounts and files?

You do. Every AI account, automation, spreadsheet and document is set up in your business’s name, on your accounts, and billed to you by the vendor. We get access only to do the work, you can take it away anytime, and if you stop working with us, it all stays with you.

Can you sign an NDA?

Yes. Just ask, and we’ll sign a confidentiality agreement before we look at any of your files, client lists or pricing. Law, accounting and insurance offices often ask for one, and so do contractors who’d rather keep their numbers to themselves.

About us

Who we are, where we are and the languages we speak.

About Albany AI Pros
Do you speak Polish?

Tak — mówimy po polsku. Wizytę i szkolenie możemy przeprowadzić po polsku. Yes: Dom is fluent in Polish, so the visit and the training can be done in Polish, which helps family businesses and crews where Polish comes first.

Are you a real local business?

Yes. We’re based in Albany, with an office at 401 New Karner Road (by appointment), and we drive to your business. Albany AI Pros was started by Dom Rzaca, who has about 19 years in construction and owns The Dom Construction Group, an Albany contractor that runs on the same kind of AI systems we now set up for other businesses. We’re not an out-of-state agency with a copy-and-paste page for every town.

Prices on this page are starting prices from our pricing page. Your final price comes in writing after the audit, before any work begins.
