Contractors & trades · Capital Region

AI for contractors. From the field, not a cubicle.

Albany AI Pros was started by a Capital Region contractor who runs his own company on these systems. We set up AI for the work that eats your nights: takeoffs, bids, pricing requests, proposals and paperwork.

Built by a contractor with about 19 years in the trades
A pickup truck at a job site with a tablet, rolled plans, a level and a hard hat on the tailgate

Off your plate

  • Takeoffs measured from your PDF plans
  • Public bids and GC invites ranked every morning
  • Proposals, COIs and pay apps drafted for your OK

Where the nights go

The top 5 time-wasters

The office work that piles up after a full day in the field. Every one of them is something we set AI up to handle, with you still making the calls.

  1. Takeoffs by hand

Measuring square feet and counting openings off a PDF set, sheet by sheet, after dinner, because the bid is due at 2 PM tomorrow.

The fix Takeoffs measured from your PDF plans
  2. Hunting for bids

Checking state, county, city and school district bid pages one at a time, plus a stack of GC invites in your inbox, and still missing the one that fit your trade.

The fix A ranked bid list every morning
  3. Chasing supplier pricing

Typing the same pricing request to every supplier and sub, then digging through replies to see who answered, who didn't and whose price runs out Friday.

The fix Supplier and sub pricing requests
  4. Proposals at the kitchen table

You told the GC you'd have a number by Friday. The scope, the exclusions and the schedule of values all get typed from scratch, late at night.

The fix Proposals, SOVs and pay apps from your notes
  5. Paperwork, photos and pay apps

The GC wants a COI and a prequal packet. Job photos sit in your camera roll, receipts ride around in the truck, and the pay app waits for a free Saturday.

The fix COIs, prequals and daily reports

Meets you at the shop, the office or the job site

Most contractors Dom knows don’t have an office problem. They have a nights-and-weekends problem. The field work gets done. Then the takeoff, the pricing requests, the proposal, the COI and the pay app all wait until the kids are asleep.

Albany AI Pros started with Dom’s own company. He owns The Dom Construction Group here in Albany and has spent his career in masonry, stucco and EIFS, coatings, concrete and restoration. He still bids work and runs jobs, and he built these systems because he needed them:

We aren’t reselling an app we read about. We set up the same kind of system we use on real bids, on your own accounts, and show you and your office person how it works. If Polish is easier for you or your crew, Dom speaks it.

What stays the same: you. AI measures, drafts and fills out forms. You approve every price, proposal and form before it leaves. Nothing goes to a GC, a supplier or a homeowner without your OK.

What changes: the work stops waiting for Saturday. The missed call from the job site gets answered and booked. The county bid you would have missed shows up in the morning list. The daily report gets drafted from the photos you already take.

This is built for subs, specialty trades and small crews across the Capital Region, from public work for school districts and state agencies to a homeowner’s front steps. Start with the one task that costs you the most nights. Read 7 ways Capital Region contractors are using AI, or call or text us and we’ll meet you at the shop or the job site.

What we set up

Five systems for the office side

Built on the accounts you already have. AI measures, drafts and fills in. You check it and send it, and you own every account and file.

All services
  1. Estimating & Takeoff Automation

Takeoffs measured from your PDF plans

AI reads the drawing set and measures the areas and counts you price. Two more AI models do their own count to cross-check it. Every sheet comes back marked up so you can check the work, and anything nobody could measure is flagged, not guessed.

    Starting at $3,500 per workflow

Plan on 3–5 weeks, including test runs on two or three bids you've already priced

How it works: Estimating & Takeoff Automation

    What’s included

    • Takeoff from PDF drawing sets: areas, lengths and counts by material, sheet by sheet, with every shape named so you can find it later
    • Three AI models (for example Claude, ChatGPT and Gemini) take off the same scope, and their numbers are lined up side by side

    Works with

    • Claude
    • ChatGPT
    • Gemini
    • Bluebeam
    • Excel
    • +3 more
  2. Bid Finding & Tracking

A ranked bid list every morning

Every weekday morning it checks your inbox for GC invites and the New York public bid pages you care about, scores each job against your trades and area, and sends a short ranked list. You decide what to chase.

    Starting at $3,500 per workflow

Most are live in 2–3 weeks, then tuned as you mark which bids were worth chasing

How it works: Bid Finding & Tracking

    What’s included

    • A daily check of the New York public bid sources you choose: state listings and county, city, town, school district and authority bid pages
    • Your inbox checked for GC invites, bid alerts, addenda and due-date changes

    Works with

    • Claude
    • Gemini
    • Gmail
    • Outlook
    • Google Sheets
    • +3 more
  3. Supplier & Sub Pricing Requests

    Supplier and sub pricing requests

Pick the job and the list. AI drafts a personal pricing request for each supplier and sub with the right drawings and due date, holds them for your OK, and keeps track of who answered.

    Starting at $3,500 per workflow

Most are live in 1–2 weeks

How it works: Supplier & Sub Pricing Requests

    What’s included

    • One clean list of your suppliers and subs, sorted by trade and area, in a sheet you own
    • A personal email for each one: their name, the project, the scope they'd price, the due date and one link to the drawings

    Works with

    • Gmail
    • Outlook
    • Google Sheets
    • Excel
    • Claude
    • +3 more
  4. Proposals, SOVs & Submittals

Proposals, SOVs and pay apps from your notes

Talk through the scope on the drive back. AI turns it into a proposal with your exclusions and terms, a schedule of values and, later, the monthly pay app and invoice. You review and send.

    Starting at $3,500 per workflow

Most are live in 2–3 weeks, built from proposals and SOVs you've already sent

How it works: Proposals, SOVs & Submittals

    What’s included

    • Proposal drafts from your estimate: scope, inclusions, exclusions, clarifications, alternates and unit prices, in your company's wording
    • Each proposal line tied to the drawing and spec section it came from

    Works with

    • Claude
    • ChatGPT
    • Microsoft Word
    • Excel
    • Google Docs
    • +4 more
  5. Compliance Paperwork

    COIs, prequals and daily reports

Your company facts are saved once. COI requests, prequal packets and vendor forms get filled from them, and the day's job photos turn into a dated daily report with your notes.

    Starting at $3,500 per workflow

Most are live in 1–2 weeks, starting with your company fact file

    How it works: Compliance Paperwork

    What’s included

    • One company fact file: legal name, licenses, insurance, bonding, safety record (EMR and OSHA logs), references, past projects and key people
    • Prequalification packets and vendor questionnaires filled out from that file, for you to review and sign

    Works with

    • Claude
    • ChatGPT
    • Google Drive
    • Google Sheets
    • Excel
    • +4 more

A day with AI

A normal day, once it’s running

A sample day for an owner-run shop. Your jobs and times will be different, but the idea holds: the office work keeps moving while you’re on the scaffold.

Day planner

A sample Tuesday

Sample day
  1. Coffee in the truck. The morning bid list is already in your inbox: a school district masonry job and a GC invite match your trades. You flag both.

    Bid Finding & Tracking
  2. You're up on the scaffold when a homeowner calls. The AI answers, gets the address and a few photos by text, and books a look for Thursday.

    AI Receptionist
  3. The GC asks for a COI and the prequal by end of day. Both are filled from your saved company info and waiting for your OK.

    Compliance Paperwork
  4. Lunch on the tailgate. You approve pricing requests for the stucco job. They go out to your supplier list with the right sheets attached.

    Supplier & Sub Pricing Requests
  5. Last photos of the day. They land in a dated daily report with your notes, ready for the GC and the owner.

    Compliance Paperwork
  6. Home for dinner. The takeoff for Friday's bid is measured and marked up. You check the sheets and the flagged items instead of starting from a blank set.

    Estimating & Takeoff Automation
Is this only for big contractors?

No. Most of what we set up is for owner-run shops where the owner is also the estimator, the project manager and the bookkeeper. We start with the job that eats the most of your evenings and build from there.

What if the AI gets a takeoff wrong?

It can, which is why it never works alone. Every quantity is marked on the drawings so you can see exactly what was measured, anything it couldn't read is flagged, and you check the numbers before they go in a bid. On our own jobs we treat it like a fast junior estimator: helpful, and always checked.

Does it work with the software I already use?

Usually, yes. We build around what you have: Bluebeam or plain PDFs, Excel or Google Sheets, QuickBooks, Gmail or Outlook. If your bid invites come through Procore or BuildingConnected, we work from the emails and files they already send you.

What does it cost?

The first visit is free. Most contractor systems, like takeoffs, the Bid Radar or pricing requests, are an Automation Build starting at $3,500 per workflow. If you want a plan first, the AI Workflow Audit starts at $500 and its fee is credited toward any build. You get the final price in writing before any work begins, and software is billed to you by the vendor, with no markup from us.

Does it handle public work and prevailing wage jobs?

Yes. The Bid Radar can watch the New York public bid pages you choose, from state agencies to counties, towns and school districts, and flag what can sink a bid: mandatory pre-bid meetings, bond size, apprenticeship rules and project labor agreements. Prevailing wage paperwork gets organized per job, and certified payroll drafts are always checked and signed by your own person.

Will my numbers and drawings stay private?

Yes. Everything is set up on accounts in your company’s name, using the business version of each tool with training on your data turned off wherever the vendor allows it. Your past bids and unit prices stay in your own files, and we’ll sign an NDA before we look at them if you ask. Our AI and data policy has the details.

Can you train my crew in Polish?

Tak. Dom is fluent in Polish, so the visit, the training and the follow-up can all happen in Polish. That helps family companies and crews where Polish comes first.
