Law, accounting & insurance offices

AI for small firms, confidentiality first.

Law offices, accounting practices and insurance agencies run on intake, drafts, deadlines and email. AI can take the first pass at all four, inside accounts your firm controls, with a professional reviewing every draft.

Where the hours go

The top 5 time-wasters

The jobs that eat the most hours in a normal week. Each one is something we can set AI up to handle, with a person still in charge.

  1. Intake calls and forms

A new client calls, someone takes notes, then types it all into the system and sends the engagement letter. The call usually comes in while you're with someone else.

  2. First drafts from scratch

Engagement letters, demand letters, client memos, renewal summaries. The first draft takes the longest, even when it's mostly the same as last time.

  3. Deadlines in too many places

Filing dates, extension dates, renewal dates and follow-ups live in a calendar, a spreadsheet and somebody's head.

  4. An inbox that runs the day

Client questions, carrier notices, letters from the court or the tax department and a pile of newsletters land in one inbox. The urgent ones hide in the pile.

  5. Chasing documents

Missing W-2s, unsigned forms, loss runs, the second page of the lease. Asking, waiting and asking again.

What we automate

What we set up for you

Built on the accounts you already have. You approve anything that goes out, and you own every account and file.

  • Client intake, ready when you are

Calls and web inquiries are answered, the basics are captured, details for your conflict check are collected, and a clean intake summary lands where your team works. You decide who becomes a client.

    AI Receptionist
  • First drafts from your own templates

Letters, memos, engagement letters and renewal summaries drafted from your templates and the file notes. A professional edits and signs off on every one.

    Document Automation
  • Deadlines pulled into one calendar

Key dates are picked out of emails and documents and put on one shared calendar with reminders ahead of time. Your docketing or calendaring rules stay in charge; AI helps catch the dates that would otherwise hide in the inbox.

    Scheduling & Calendar Automation
  • Email sorted, replies drafted

The inbox is sorted into clients, new inquiries, courts or carriers, vendors and junk, with urgent items flagged and suggested replies drafted for you to approve.

    Email & Inbox Automation
  • Missing-document checklists

Each client gets a checklist of what's still missing and polite reminders on a schedule, so your staff stops writing the same follow-up email.

How we help

How it fits your week

Small firms carry a lot of trust and a lot of paperwork. A two-attorney office a few blocks from the courthouse, a CPA practice heading into tax season and an independent insurance agency in Colonie look different from the street, but the week is similar: new clients to take in, drafts to write, dates to track and an inbox that never empties.

AI is fast at the groundwork. It can summarize an intake call, sort a full inbox, pull a date out of a scanned letter and turn your template into a first draft. It is not good at judgment. So we set it up the way a careful firm would.

Locked down before anything goes in. Before a single client file goes near AI, the accounts are in your firm’s name, training on your data is off, and access is limited to your team. No personal accounts, no free chatbots, no client files pasted into a browser tab at home. If you want an NDA, we sign it first. Then we write a short, plain policy your team can follow and train them on it in person. Our guide on keeping business data safe in ChatGPT, Claude and Gemini covers the basics.

A professional reviews every draft. AI writes the first version. An attorney, CPA or licensed agent edits it, signs it and decides whether it goes out.

Your systems stay in charge. Docketing rules, tax software, agency management systems and document folders stay where they are. We build around them, not over them.

From our side of the desk: Dom runs a construction company, so he’s the client asking his insurance agent for a certificate by end of day, and the one handing his accountant a year of bank statements. He built systems for both on his end: paperwork on autopilot and books from bank statements. We’d like to help the offices on the other end, too.

Start with the job your staff likes least. Call or text us, and we’ll come to your office and take a look.

Start with one task

We come to you, watch how the week really runs, and point to the one job worth handing off first. The visit is free.

A day with AI

A normal day, once it’s running

A sample day. Your times and tasks will be different, but the idea holds: the routine work keeps moving while your people handle the rest.

A sample Tuesday

Sample day
  1. The overnight inbox is sorted. New inquiries, a notice with a deadline and a client question are flagged; the newsletters are out of the way.

  2. A prospective client calls while you're in a meeting. Intake captures the basics and the details for your conflict check, and offers a consult time.

  3. You need an engagement letter. A first draft from your template is waiting. You edit it, sign it and send it.

  4. A date buried in a scanned letter gets pulled onto the shared calendar, with reminders set ahead of time.

  5. Clients who still owe documents get a polite reminder with their checklist. Nobody on staff had to write it.

  6. End of day. A short summary shows what came in, what's drafted and waiting for review, and what's due this week.

More questions and answers
Is it safe to put client files into AI?

Only when it's set up the right way. We use business accounts your firm owns, with settings that keep your data out of model training, access limited to your staff, and a written policy on what may and may not go in. Personal and free accounts are off limits for client information. If you want an NDA, we sign it before we look at anything.

Will the AI give legal, tax or insurance advice to clients?

No. It drafts and organizes for your team. Advice comes from your attorneys, CPAs and licensed agents, and a professional reviews every draft before it leaves the office.

Will this replace our staff?

No. It takes the first pass at intake notes, drafts, dates and email, so your paralegals, staff accountants and account managers spend more of the day on work that needs a trained person. It works alongside the Microsoft 365 or Google Workspace setup and the practice or agency software you already have.
