An inbox that's sorted before coffee
Every new email gets read, labeled and flagged, and the routine ones get a reply drafted in your voice. You open your inbox to a short list of what actually needs you.

What it is
In plain English
For most small businesses, email is where the work comes in and where it gets lost. The new customer who wrote at night sits under a supplier flyer, three bid-site notices and a shipping update. By the time you find it, they’ve called someone else.
We set up AI inside your own Gmail or Outlook that reads each new email the way a sharp office assistant would. It figures out what the email is, who it’s from and whether it can wait. It files it, flags the ones that matter and writes a first draft for the routine ones: “Yes, we can come look at it Thursday morning.” “Here’s the W-9 you asked for.” “Thanks, invoice received.”
Where a person takes over. You still decide what goes out. Drafts sit in your drafts folder until you send them, and anything touchy (a complaint, a legal letter, a money dispute) is flagged for you and left alone. Over time you can tell it to handle more, or less.
Built around how you already sort. We start by going through your inbox with you. Maybe you want bid invites in their own folder, or anything from your three biggest customers flagged right away. That becomes the rule set. There’s no new app to learn. It’s the same inbox, just tidier, every morning.
If the bigger problem is calls and texts rather than email, look at the AI Receptionist. If leads come in fine but nobody follows up, that’s Lead Follow-Up Automation.
What’s included
What you get
Set up on your accounts, tested with your real work, and explained to your team before we call it done.
- Automatic labels for leads, customers, invoices and bills, vendors and junk, set up the way you sort, not a generic list
- Priority flags for the email that can't wait: a new lead, an upset customer, a payment problem, a deadline
- Replies drafted in your voice for routine email, saved as drafts for you to read, change and send
- A morning summary: what came in overnight, what needs you and what's already handled
- Bills and invoices pulled out and filed, or passed to the person who pays them
- Rules for what the AI never touches, like legal letters, money disputes or anything marked personal
- Built on your own Gmail or Outlook and tested on your real email before it goes live
- Training and a written how-to so your team can adjust the rules later
How it works
One example, step by step
A typical setup. We shape every step around how your business already runs, and you approve anything that goes out.
Example workflow
Email & Inbox Automation, start to finish
-
Step 1
Email arrives
At 9:15 PM a homeowner in Delmar writes in about a sagging porch and asks if you can take a look.
-
Step 2
Read & sort
The AI reads it, labels it as a new lead and flags it high priority.
-
Step 3
Draft
It writes a friendly reply in your voice asking for photos and the address, and saves it as a draft.
-
Step 4
Summary
Your morning summary lists it first: one new lead, reply drafted, waiting on you.
-
Result
You send
You read it, change a word and hit send. Nothing goes to a customer without you.

quote for front steps??
hi, got your name from my neighbor on Elm. our front steps are crumbling pretty bad and my mother-in-law almost tripped on them sunday.
can someone come look this week?? we are in Delmar. thanks
Dana
Hi Dana,
Thanks for reaching out, and I’m glad your mother-in-law is okay. With the cold coming, now is a good time to look at those steps.
I can stop by Wednesday at 4:30 PM or Thursday at 8:00 AM. It takes about 20 minutes and the estimate is free. Which works better?

Still waiting on the gate (2nd email)
I wrote last week about the side gate you put in. It still won’t latch and the dog got out Saturday. We found him two streets over.
This is the second time I’m asking. I’d really like someone to come fix it.
Linda
Hi Linda,
I’m sorry. You shouldn’t have had to ask twice, and I’m really glad your dog is okay.
We’ll fix the latch at no charge. I can have someone there Tuesday between 8 and 10 AM. If that doesn’t work, tell me a time that does and we’ll make it happen.

Sorry for the short notice!
Mark
Hi Mark,
No problem at all. We can move the walkway to next week. I have Tuesday or Wednesday morning open, and the crew can start at 8:00 either day.
Reply with the day that works and I’ll lock it in. Thanks for the heads-up.

More questions and answersWill it send emails without me?
Not unless you want it to. Out of the box, every reply is saved as a draft and you press send. Some owners later let it send the simple ones, like 'Thanks, got your invoice.' You decide that one category at a time, and you can take it back anytime.
Is it safe to let AI read my email?
It reads what it needs to sort and draft, inside your own account. We use business accounts with the vendor's privacy settings turned on, and we set rules for what it skips. Law, accounting and medical offices get a confidentiality-first setup: we decide together which mail the AI sees at all, and patient information only goes into HIPAA-eligible tools covered by a signed BAA, never consumer AI.
Do I have to switch email providers?
No. We build on the Gmail or Outlook you already use. Same account, same folders, same login. If you ever want it off, we switch it off and your email works exactly like it did before.
