What it is

In plain English

Booking one appointment shouldn’t take five messages. “Does Tuesday work?” “Tuesday’s tough, how about Wednesday?” “Morning or afternoon?” Meanwhile you’re up on a ladder, and by the time you write back, the customer has booked someone else.

We set up AI that handles the back-and-forth. It knows your hours, your drive times and how long each kind of job takes. It offers real open times, books the one the customer picks, sends the confirmation and the reminder, and answers the “something came up, can we move it?” text without you.

You set the rules. Estimates only in the afternoon? No Saturdays? No more than two jobs a day for the Saratoga crew? Those become rules it follows.

Where a person takes over. It tells customers they’re texting with an AI assistant, and anyone who asks for a person gets one. Anything outside your rules, like an emergency, an upset customer or a big commercial job, comes straight to you.

Medical and dental offices: patient information only goes into HIPAA-eligible tools covered by a signed BAA, never consumer AI. We’ll show you which tools qualify before we build anything.

If most of your bookings start as phone calls, pair this with the AI Receptionist so calls and texts get answered and booked in one place.

What you get

Set up on your accounts, tested with your real work, and explained to your team before we call it done.

  • Booking by text, email or a link, based on your real availability and the rules you set

  • Confirmations and reminders by text and email, sent on the schedule you choose
  • Reschedules and cancellations handled by text, with the open slot put back on the calendar
  • A morning schedule for you and your crew: who, where and what to bring
  • Every booking added to your Google Calendar or Outlook calendar with the address and notes
  • Clear handoff rules: anything unusual, upset or urgent goes straight to a person
  • For medical and dental offices, patient scheduling only through HIPAA-eligible tools covered by a signed BAA

How it works

One example, step by step

A typical setup. We shape every step around how your business already runs, and you approve anything that goes out.

Example workflow

Scheduling & Calendar Automation, start to finish

  1. Step 1

    Request

A customer texts at 8:50 PM: 'Can someone look at my leaking gutter this week?'

  2. Step 2

    Check

The AI checks your calendar, the drive from your other stops and the rules you set for that kind of job.

  3. Step 3

    Offer

It offers two open times, Wednesday at 8 AM or Thursday at 3 PM, and the customer picks one.

  4. Step 4

    Confirm

The visit lands on your calendar with the address and notes, and the customer gets a confirmation.

  5. Result

    Remind

The day before, a reminder goes out. If they need to move it, they text back and pick a new time.

More questions and answers
Will it double-book me?

It only books into open time on your real calendar, with the buffers you set. If you add something by hand, it sees that too. If a request doesn't fit cleanly, it hands it to you instead of guessing.

Can it work with the scheduling software I already have?

Often, yes. If your current software can sync a calendar or connect to other tools, we build on it. If it can't, we'll tell you plainly before you spend anything on a build.

What if a customer wants a real person?

They get one. Any message the AI isn't sure about, like a complaint, an emergency or a question it can't answer, gets passed to you or your office right away, with the conversation so far.
