Get your numbers in before bid day

Bid day goes better when your quotes are already in. We set up AI that writes a personal pricing request to every supplier and sub on your list, with the right scope, sheets and due date, then queues them for you to approve and keeps track of who answered.

What it is

In plain English

Every bid needs numbers from other people. Block and mortar from the yard. Scaffold. Sheet metal. A roofer. And every time, it’s the same email, copied, renamed and sent one at a time at ten at night, followed by three days of wondering who actually got it.

Dom uses this when his own company bids a job. See it in our real work. You give it a bid and a list. It drafts a personal pricing request for every supplier and sub, with their name, the scope they’d price, the sheets and spec sections to look at and the due date. Your own prices never go in. The drafts wait in your email until you approve them, then go out from your own account, a few minutes apart.

Then it keeps track. Who answered, who didn’t, who needs a nudge. When quotes come back, they can be pulled into one sheet so you can level them side by side and see who excluded what. Picking the supplier you trust to deliver on time is still your call.

On the front end, bid finding tells you which jobs are worth asking about. On the back end, estimating and takeoff gives you the quantities your suppliers need to price. The inbox demo shows a close cousin on sample email: a messy inbox sorted, with replies drafted for you to approve.

What’s included

What you get

Set up on your accounts, tested with your real work, and explained to your team before we call it done.

  • One clean list of your suppliers and subs, sorted by trade and area, in a sheet you own
  • A personal email for each one: their name, the project, the scope they'd price, the due date and one link to the drawings
  • Material-quote requests for suppliers, and labor-and-material requests for subs that ask about schedule and insurance
  • Drafts saved in your Gmail or Outlook so you look them over before anything goes out
  • A send queue that spaces emails out, so they come from you and not from a blast tool
  • A tracker that shows who answered, who bounced and who's still missing
  • Friendly follow-ups drafted for anyone who hasn't replied a couple of days before your deadline
  • Optional: incoming quotes pulled into one sheet so you can level them side by side

How it works

One example, step by step

A typical setup. We shape every step around how your business already runs, and you approve anything that goes out.

Example workflow

Supplier & Sub Pricing Requests, start to finish

  1. Step 1

    Pick the bid

Tell it the project and which packages or materials you need priced.

  2. Step 2

    Pick the list

It pulls the right suppliers and subs for each trade and area from your sheet.

  3. Step 3

    Draft

AI writes a personal email to each one with the scope, sheets, spec sections and due date.

  4. Step 4

    You approve

The drafts sit in your email. You skim them, fix anything and approve.

  5. Step 5

    Queue and track

Emails go out from your own account, spaced out, and replies are tracked.

  6. Result

    Follow up

Anyone still missing gets a polite reminder before the deadline.

More questions and answers
Will this feel like spam to my suppliers?

It shouldn't, and we set it up so it doesn't. Every email goes out from your own account with your name and signature. Each one names the person, the project and exactly what you need priced, and they're spaced out instead of blasted all at once. Most of the time that's more personal than the copy-paste email we all send on a busy week.

Does it send anything without me?

Not unless you want it to. By default every email waits as a draft until you approve it, and you can pause the whole queue at any time. Once you trust the wording, you can let the follow-ups go out on their own. That's your call, and you can change it anytime.

Where does the supplier list come from?

From what you already have: your contacts, past quote emails, an old spreadsheet, the business cards in the truck. During setup we clean it up into one sheet sorted by trade and area. You own it, and adding a new supplier is one new row.
